Responsibilities:
- Greet and welcome guests in a friendly and professional manner, offer a beverage. Clean and sanitize meeting space after appointment with planner.
- Provide excellent customer service and address guest inquiries and concerns
- Perform duties related to caring for clients and for enhancing the overall quality of the client experience and performing related support activities as requested.
Job Knowledge/Systems
· Maintain up-to-date knowledge of administrative techniques
· Answer, screen and forward all incoming phone calls using our multi-line phone system with a consistent professional dialogue and voice tone
· Greet clients in a professional and friendly manner (offer beverages, take coat, etc.)
· Print Client Verification Sheets for in-office appointments, take copies of updated driver’s licenses and input these client data changes in CRM
· Liaison between client and back-office support staff to facilitate seamless communication
· Schedule all client appointments for advisors
· Send out appointment reminders for all client appointments via email or by phone
· Update client scheduling projects yearly
· Create Financial Rep client calendar yearly
· Prepare conference room for staff meetings.
· Update staff lists as needed in Microsoft and CRM form letters
· Facilitate affiliation and transition of all new clients
· Email out Weekly Market Commentary to clients and facilitate all mass client mailings
· Administer miscellaneous reports using CRM and Excel (i.e. new prospects/transitional, client count report and appointment tracking for advisors)
· Maintain supply of greeting and holiday cards and route cards to staff for signatures
· Coordinate breaks with administration staff to ensure adequate front desk coverage
· Maintain cleanliness and supplies of front desk, receptionist area, and conference rooms
· Review all new Consulting Agreements and follow steps assigned on the blue Processing Checklist
